Working in the Manage jobs view in the Beta Workflow Editor

There are many ways to open the Manage jobs view. The one that you select affects the job types that you will see in the Manage jobs view. For details, see Viewing jobs in the Manage jobs view.

Important

If you are a user with the Limited Project Manager (LPM) role, your access rights to the New Workflow Editor and its functions can vary. For details, see Project Editor – Beta Workflow Editor.

In the top left-hand corner of the screen, you see the Back to Overview button. Select it to return to the Overview view, in the Beta Workflow Editor.

In the top right-hand corner of the screen, you see the black_circle_checkmark.svg Intelligent Workflow label. It is only displayed if the Intelligent Workflow feature has been activated for your instance by your XTM Cloud Administrator and enabled for the project (for details, see Creating a project: AI Translations). If there has been an issue with the Intelligent Workflow feature, you will also see an error icon. Hover over it to see an error message that describes the issue. An error can occur for one of these reasons:

  • An issue occurred during file upload. In this case, try uploading your files again and reanalyzing the project.

  • Lack of response from the LLM. In this case, verify your LLM connection in the system settings, or contact your XTM Cloud Administrator if you do not have the necessary permissions.

  • Project settings have been changed so that the requirements for the Intelligent Workflow functionality have not been met. In this case, navigate to the General information tab to review the current settings.

  • There has been an issue with running AI Translate & TQI for some segments during project analysis. In this case, remove some files from this project and create a new project to contain them. Alternatively, run AI Translate & TQI in XTM Workbench.

In the Manage jobs view, jobs are displayed in a table containing these columns:

  • checkbox – use checkboxes to select one or more jobs that you want to manage. You can:

    • edit all jobs displayed on the current table page, in the Manage jobs view. To do so, select the checkbox in the table header.

    • edit all jobs in the project, displayed on all pages, in the Manage jobs view. To do so, select the checkbox in the table header. Then, select the Select all [number] jobs on all pages button that is displayed above the table when you select the checkbox in the table header. Now you can bulk-manage all jobs listed in the Manage jobs view, on all pages.

    • select one or more checkboxes on the same table page to only manage the selected jobs.

    • edit one or more jobs that are displayed on different table pages. To do so, first, display the required jobs on the same page. You can either adjust the number of entries that will be displayed on one page or filter jobs to ensure you see all required jobs on the same page, in the table, in the Manage jobs view. Next, select all required checkboxes.

  • Job – this column displays the file name. Values are sortable in ascending/descending order.

  • Segments – this column displays the number of segments in a file. The split file icon file_dashed_line_split_gray_brand_refreshed.svg indicates that a file has been split into bundles. Currently, it is not possible to manage bundles in the Beta Workflow Editor. To manage bundles, return to the standard workflow editor (for details, see Disabling the Beta Workflow Editor). To find out how to manage bundles in the standard workflow editor, see Splitting a file into bundles.

  • Workflow – this column displays all workflow steps in a job. It contains information about:

    • the stage of each workflow step – steps are color-coded:

      • Gray – workflow step has not been started yet.

      • Blue – workflow step has been started and is now in progress.

      • Green – workflow step has already been finished.

    • the blocking mechanism – marked by the vertical lines used between the workflow steps:

      • Dashed vertical line dashed_vertical_line.svg – steps can be processed at the same time. This transition is the same as the comma icon comma.svg in the standard workflow editor.

      • Two vertical lines, one dashed two_lines_one_dashed.svg – the next step in a bundle cannot be started until the previous step in that bundle is finished. This transition type is the same as the arrow right icon arrow-right-solid.png in the standard workflow editor.

      • Two straight vertical lines two_straight_lines.svg – the next step cannot be started until the previous step is finished for all bundles. This transition type is the same as the hashtag icon hashtag-solid.svg in the standard workflow editor.

    • the Intelligent Workflow automation status – the AI icon AI_icon.svg between two workflow steps means that the preceding workflow step has been closed automatically, thanks to the Intelligent Workflow automation. This column is only displayed if the Intelligent Workflow feature has been activated for your instance by your XTM Cloud Administrator and enabled for the project. For details, see Creating a project: AI Translations.

    • the assignee types:

      • Linguists – if a single Linguist has been selected for a workflow step, you will see their name in that workflow step, in the jobs table in the Manage jobs view.

      • User groups – if a user group has been selected for a workflow step, you will see the user group icon linguist_group_brand_refreshed.svg and the group name, in that workflow step, in the table in the Manage jobs view.

      • LSP – if an LSP has been selected for a workflow step, you will see the link icon LSP_link_brand_refreshed.svg and the LSP name in that workflow step in the jobs table in the Manage jobs view.

      • Many translators – if a file has been split into bundles, in the standard workflow editor, and different Linguists, user groups or LSPs have been assigned to different bundles.

    Important

If a file has been split into bundles, you can only assign the same Linguist, user group or LSP to all bundles in that file, in the Job details popup. To assign different Linguists, user groups or LSPs to different bundles, disable the Beta Workflow Editor (for details, see Disabling the Beta Workflow Editor) and use the standard workflow editor.

  • Target language – this column is hidden if there is only one project target language or if you have selected a value for the Target languages filter. In the latter case, you see selected language filters above the table, on the left-hand side. For details, see Filtering jobs in the Manage jobs view.

  • Due date – this column displays the final workflow due date. It is hidden if no due dates have been set for projects and jobs. Values are sortable in ascending/descending order. If a date has a background which is:

    • gray – this job is due within the next 3 business days.

    • yellow – this job is due today.

    • red – this job is overdue.

  • AI Translate & TQI – the TQI for each job. The results are color-coded:

    • Green background and the checkmark icon black_circle_checkmark.svg – indicate that, on average, segments in a job are of Good quality.

If the Intelligent Workflow feature has been activated for your instance by your XTM Cloud Administrator, a workflow automation icon workflow_automation.svg indicates that some steps in a job have been closed automatically by the Intelligent Workflow feature.

    • Yellow background and the warning icon QA_warning_gray.svg – indicate that, on average, segments in a job are of Acceptable quality.

    • Red background and the error icon warning-exclamation-red.png – indicate that, on average, segments in a job are of Not acceptable quality.

    • Yellow warning icon yellow_warning_triangle.svg – indicates that one or more segments in a job have not been assigned a TQI. Hover over the icon to see more details.

    • Red error icon warning-exclamation-red.png – indicates that there has been some issue with the TQI feature. Hover over the icon to see more details.

If the Intelligent Workflow feature has been activated for your instance by your XTM Cloud Administrator, and when you hover over a job's TQI, you see the number of steps in that job whose workflow has been automated by Intelligent Workflow.

When you click on a job's TQI, you see a popover containing detailed information about segments in the selected job. These details are:

    • Number of automatically-closed steps in the selected job.

    • Number of segments in the selected job whose quality is Good.

    • Number of segments in the selected job whose quality is Acceptable.

    • Number of segments in the selected job whose quality is Non-Acceptable.

    • Number of segments in the selected job that are Empty – they have not been populated with a translation memory (TM) match or with an LLM-generated translation.

    • Total number of segments in the selected job.

Above the table, on the right-hand side of the screen, you see the search box. Use it to find jobs by file name, path, or extension. For details, see Searching for jobs in the Manage jobs view.

In the bottom left-hand corner of the table, you can set the number of entries that will be displayed on one page:

  • 10.

  • 20.

  • 50.

  • 100.

In the top and bottom right-hand corner of the table, you see the number of pages containing entries.

When you select a table row, a Job details popup containing the details for the relevant job is displayed. You can use the popup to:
