Creating users
In XTM Portal, if you have the Administrator role, you can create XTM Portal users.
Log in to XTM Portal as an Administrator.
In the menu on the left of the screen, select the user list icon
.
In the User list screen, select the Create button in the top right-hand corner of the screen.
In the Create screen, provide the following user details:
In the Basic info section, make the required settings. Some settings are mandatory (they are marked with an asterisk
, in the XTM Portal Create form) and others are optional:
Important
If the Is SSO only setting is set to Yes (for details, see the description in the list below), some of the fields listed below will be displayed, but inactive. That means these fields are synchronized with the user's SSO profile and can only be changed in the SSO provider's instance.
Email (mandatory).
First name (mandatory).
Last name (mandatory).
Password (mandatory if you want to use the password login method. For details, see Logging in to XTM Portal using your email and password). A password must be at least 8 characters long. It also must contain at least three of these character types: uppercase letters, lowercase letters, digits, special characters. To enhance security, you will be informed if the selected password has been identified as a commonly used password. In that case, select a different password.
Confirm password (mandatory if you want to use the password login method. For details, see Logging in to XTM Portal using your email and password).
Is admin toggle switch (mandatory):
off (default) – the user has no Administrator rights, so they cannot make XTM Portal settings.
on – the user has Administrator rights, and they will be able to make XTM Portal settings.
Is active toggle switch (mandatory):
off (default) – the user will be created but cannot log in to XTM Portal until you activate them.
on – the user will be created and will immediately be able to log in to XTM Portal.
Is SSO only dropdown (optional):
empty – if the user logs in using other login methods than SSO, this field will remain empty. If the user logs in with SSO, the value will be changed automatically to Yes. It means from then on, they will only be able to log in to XTM Portal using SSO, until you change the Is SSO only value in their user account to No.
No – the user will be able to log in using all login methods that have been set for all XTM Portal users in your instance. For details, see Configuring the Login/Sign-up page.
Yes – the user will only be able to log in using SSO. Even if other login methods have been set for all XTM Portal users in your instance. For details, see Configuring the Login/Sign-up page. Also, the user's Email and fields synchronized with SSO are in read-only mode. Their values can only be updated in the SSO provider.
Customers (optional). By default, each user can create projects for all customers specified by XTM Portal Administrator in the Translation request page. (For details, see Configuring the Translation request page). To limit access for the user to only specific customers, select the required customer(s) from the dropdown.
In the Translation request defaults section, make the required settings:
Standard fields area:
Default customer (optional). Select the required customer from the dropdown list of all customers for which the relevant user can create projects. The selected customer will be preselected in every Translation request that they complete. If required, they can select another customer from the Customer dropdown in the Translation request form for a particular project.
Custom fields area (optional). The settings that you see depend on settings made by XTM Portal Administrator on the Translation request page. (For details, see Configuring the Translation request page). The settings that you make here will be the relevant user's default on the Translation request page. If required, they can select other options in the Translation request form for a particular project. The default values can also be passed from SSO if an XTM Portal Administrator has enabled the relevant SSO login settings. (For details, see Configuring the Login/Sign-up page).
Select the Save button in the top right-hand corner of the screen.
Result: the user is created in XTM Portal. Also, an external user with the same user details is created in XTM Cloud.
If an error occurs during user creation, it can mean that an external XTM Cloud user with this email address already exists. In such a case, request support:
