Configuring the Translation request page

XTM Portal Administrators can configure and customize the XTM Portal Translation request page.

Procedure. To configure the XTM Portal Translation request page:
  1. Log in to XTM Portal as an Administrator.

  2. In the menu on the left of the screen, select the cog icon gear_outline_brand_refreshed.svg. The Settings tab screen is displayed.

  3. In the Settings tab screen, select the GENERAL tab.

  4. In the General settings screen, select the TRANSLATION REQUEST tab. In the TRANSLATION REQUEST screen:

    1. in the Request details section, you can see which options have been selected for the translation request. These options will be displayed in the Translation request screen. Some options are mandatory and others are optional:

      • Standard fields:

        • Customer (mandatory).

        • Project name (mandatory).

        • Upload file or text (mandatory).

        • Template/Default workflow (mandatory).

        • Source language (mandatory).

        • Target languages (mandatory).

        • Due date (mandatory).

        • Subject matter (optional): Translation requesters can select a subject matter for their project.

        • Share with (optional): Translation requesters can select particular XTM Portal users who will be able to see and manage the relevant project, in the Project list screen.

      • Custom fields: in this section, you see all custom fields created by the XTM Cloud Administrator, in XTM Cloud. Custom fields that have been marked as mandatory in XTM Cloud are also mandatory in the XTM Portal Translation request form.

    2. in the Template/Default workflow section, you can use the Enable templates toggle switch:

      • on: in the Project templates dropdown, you can select which project templates should be applied:

        • All.

        • Global.

        • Customers.

      • off: in the Default workflow dropdown, select an XTM Cloud workflow that should be applied for all projects created in your XTM Portal instance.

    3. in the Customers section, you can:

      • select one or more Customers for which projects can be created in XTM Portal. Translation requesters will be able to select the required customer for their project from the ones that you enable here. The customers that you see in the dropdown have been created in XTM Cloud by an XTM Cloud Project Manager.

      • select the Default customer. The selected customer will be selected by default in every Translation request created in your XTM Portal instance. If required, users can select another customer that they have access to.

      • use the Use customer's assigned XTM Cloud Project Manager toggle switch:

        • on: in XTM Cloud, the project will be assigned automatically to the Project Manager responsible for the customer, for which the project has been created.

        • off (default): customer's XTM Cloud Project Manager will NOT be assigned to the project automatically.

    4. in the Translation files section, you can:

      • use the File extensions field to select the file extensions that will be supported in your XTM Portal instance. By default, all file extensions supported in XTM Cloud, plus ZIP files, are supported in XTM Portal. ZIP files can also contain files that are not supported by XTM Cloud. To select specific file extensions that are to be supported in XTM Portal, select the caret down icon caret-down-solid_black.svg to the right of the File extensions label. Now, in the dropdown, select the relevant file extension. To add more file extensions, click in the File extensions field and select them from the dropdown, one by one. To remove a particular file extension, select the close icon close_X-mark_from-UX-team.svg to the right of the relevant component. To clear all selected file extensions, select the close icon close_X-mark_from-UX-team.svg on the right-hand side of the File extensions field.

        To check which file formats are supported in XTM Cloud, go to https://help.xtm.ai/en/xtm-cloud-documentation.html. Then, select the relevant XTM Cloud version. In the documentation for the relevant XTM Cloud version, search for the "File formats supported in XTM Cloud" topic.

      • use the Maximum text length field to limit the number of characters that users can enter in the Enter or paste text field, in the Translation request screen. If you leave this field blank, there will be no character input limit for this field.

    5. in the Due date section, you can use the Set the default deadline time time picker to set the default deadline time for the selected project due date in the Translation requester's time zone. When creating a request, they will see the time selected by you and will be able to disable the default and specify a custom time.

    Note

    In the Preview section, to the right of the TRANSLATION REQUEST screen, you can check what the Translation request page will look like.

  5. Select the Save button in the top right-hand corner of the screen.

Result: the Translation request page is customized according to the settings that you have made.
