Working in the Overview screen in the Beta Workflow Editor

To be able to work in the Beta Workflow Editor, you need to enable it first. For details, see Enabling the Beta Workflow Editor.

If you display the Project Editor – kanban_gray_solid_brand_refreshed.svg Workflow tab screen in Beta, you see the Overview section at the top. In it, you see:

  • an additional section at the top of the screen if the project is currently being analyzed. In it, you see information that you cannot edit the project yet, because it is still being analyzed. To the right of this message, you see how many jobs have already been analyzed, out of all jobs in the project. Below, you can see the exact analysis status of your project. It can be:

    • Waiting for analysis – analysis of this project has not yet started. In XTM Cloud, a queue is created to handle project analysis. If many projects have been created before yours, your project might need to wait in the queue.

    • Analysis – analysis of this project has started. Check progress again in a couple of minutes. Analysis time depends on project size.

    • Analysis takes longer – analysis of this project is taking longer than initially expected. Check progress again in a couple of minutes.

    • Post-analysis actions – analysis of this project has finished. The project is undergoing additional preparation. For example, statistics are being saved, metrics and wordcount are being updated, the Intelligent Workflow feature is being prepared (for details, see Global Intelligent Workflow settings.

    Note

    The analysis stop and restart features, described below, are available as of package number 260611_1730. To check your XTM Cloud version, see Checking your XTM Cloud version and package number.

    If required, use the Cancel analysis button, in the analysis progress section at the top of the Project Editor > Workflow > Overview tab screen, to stop the analysis of the relevant project. This is especially useful if you have a large, but not very urgent project currently in analysis, but need to free capacity for an urgent, higher-priority project. You can stop the analysis at any stage: when the project is only queued for analysis, when its analysis has already started, or during the post-analysis actions. For details, see Cancelling project analysis in the Project Editor > Workflow > Overview tab screen.Once the project analysis process is stopped, the Cancel analysis button is replaced by the Reanalyze button. This button is described in the next paragraph.

    If you have previously stopped project analysis, in the analysis progress section at the top of the tab screen, you see the Reanalyze button. You can use it to restart the previously stopped analysis of the project. However, this button is only displayed for a short period of time right after analysis of the project was stopped. You can still restart the project analysis after this button is hidden from the user interface. You can do so either in the Project Editor > Workflow > Overview (for details, see Restarting a cancelled project analysis in the Project Editor > Workflow > Overview tab screen) or from the project's context menu in the Project list (for details, see Restarting a cancelled project analysis via the Project list > Actions menu).

  • the Monitor progress of jobs section. At the top of this section, a donut chart displays all jobs in the particular project, divided into three categories. When you hover over one of the categories listed below the chart, the percentage of jobs in that category is displayed in the center of the chart. When you select one job category, you display the Manage jobs view for that job category. The job progress categories are:

    • Finished – for jobs whose workflow has already been finished. It is marked in green on the donut chart.

    • In progress – for jobs whose workflow has already been started, but has not yet been finished. It is marked in blue on the donut chart.

    • Not started and pending – for jobs whose workflow has not yet been started and/or jobs that are pending. It is marked in gray on the donut chart.

  • the Job due dates section – at the top of this section, a donut chart displays all jobs in the project, divided into three categories. When you hover over one of the categories, which are listed below the chart, the percentage of jobs in that category is displayed in the center of the chart. When you select one category, you display the Manage jobs view for the relevant job category. The job progress categories are:

    • Overdue – for jobs whose due date has been exceeded. It is marked in red on the donut chart.

    • Due today – for jobs which are due today. It is marked in yellow on the donut chart.

    • Due in 3 business days – for jobs which are due in 3 business days. It is marked in gray on the donut chart.

  • the Intelligent Workflow section – only displayed if the Intelligent Workflow feature has been activated for your instance by your XTM Cloud Administrator and enabled for the project (for details, see Creating a project: Machine translation). In this section, you see:

    • an error message – if there has been some issue with the Intelligent Workflow feature. An error can occur for one of these reasons:

      • An issue occurred during file upload. In this case, try uploading your files again and reanalyzing the project.

      • Lack of response from the LLM. In this case, verify your LLM connection in the system settings, or contact your XTM Cloud Administrator if you do not have the necessary permissions.

      • Project settings have been changed so that the requirements for the Intelligent Workflow functionality have not been met. In this case, navigate to the General Info tab screen to review the current settings.

      • There has been an issue with running AI Translate & TQI for some segments during project analysis. In this case, remove some files from this project and create a new project to contain them. Alternatively, run AI Translate & TQI in XTM Workbench.

    • Automatically-closed steps – this setting displays the number of steps that have been closed automatically. These are the steps from jobs whose average TQI exceeded the project's Acceptable threshold.

    • Average TQI – this setting displays the average TQI result for all jobs in a project.

    At the bottom of the Intelligent Workflow section, you see how many jobs in a project have been assigned to each quality category. The results are color-coded:

    • Green background and the checkmark icon black_circle_checkmark.svg, plus the Jobs with "Good" quality label – indicate jobs whose segments are, on average, of Good quality.

    • Yellow background and the warning icon QA_warning_gray.svg, plus the Jobs with “Acceptable” quality label – indicate jobs whose segments are, on average, of Acceptable quality.

    • Red background and the error icon warning-exclamation-red.png, plus the Jobs with “Non-Acceptable” quality label – indicate jobs whose segments are, on average, of Non-Acceptable quality.

  • the Jobs with issues section – only displayed if one or more of the following events occurred:

    • Some project files could not be analyzed. You see how many files could not be analyzed to the right of the Non-analyzable label. To manage these files, you must disable the Beta Workflow Editor. You can do so by selecting the Non-analyzable line in the Jobs with issues section. Then, in the Non-analyzable file management popup, select the Opt-out button. Once you make all the required settings for these files, you can return to the Beta Workflow Editor.     • Analysis stopped manually – analysis of some project jobs has been stopped manually. You see how many files have not been analyzed yet to the right of the Analysis stopped manually label. To analyze them now, select the Analysis stopped manually label. As a result, the Reanalyze stopped jobs? popup is displayed. In the popup, select the Reanalyze button.

      The analysis restart feature is available as of package number 260611_1730. To check your XTM Cloud version, see Checking your XTM Cloud version and package number.

In the top right-hand corner of the screen, you see:

  • the black_circle_checkmark.svg Intelligent Workflow label – displayed if the Intelligent Workflow feature has been activated for your instance by your XTM Cloud Administrator and enabled for the project (for details, see Creating a project: Machine translation). If there has been an issue with the Intelligent Workflow feature, you will also see an error icon. Hover over it to see an error message that describes the issue.

  • the message_outline_gray_brand_refreshed.svg Send feedback button – select it to suggest changes to or improvements in the way the new Workflow Editor works. For details, see Sending feedback about the Beta Workflow Editor.

  • the context menu icon ellipsis_vertical_context_menu_brand_refreshed.svg – select it to display these menu options:

    • lightbulb_gray_outline_brand_refreshed.svg Take a tour – use it at any time to learn more about the Beta Workflow Editor.

    • bug_outline_gray_brand_refreshed.svg Report a bug – use it to report any bugs that you have noticed in the Beta Workflow Editor to XTM Support. When you select this option, you will be redirected to our Support Portal. For details, see Reporting a bug in the Beta Workflow Editor.

    • book_brand_refreshed.svg Beta resources – use it to jump to XTM Cloud documentation articles about the Beta Workflow Editor (the section you are reading now).

    • toggle-off_gray_brand_refreshed.svg Switch to standard version – use it to return to the standard Workflow Editor. For details see Disabling the Beta Workflow Editor.

Below the Overview section, you see the Target languages section. In it, you see:

  • the Manage jobs button – use it to go to the Manage jobs view. In it, you can perform numerous actions. For details, see Working in the Manage jobs view in the Beta Workflow Editor).

  • each project target language, displayed in a separate section. The pre-processing language, if present, is always displayed first. It is marked with the Pre-processing label in the right-hand corner. It is followed by all languages whose workflow has been finished. Then, the remaining project target languages are listed in alphabetical order. For each project target language, you see if any workflow due dates are approaching, or if all workflow steps have been finished yet. This information is represented by a different icon. When you hover over the icon for one of the languages whose workflow is in progress, you see the final due date for the relevant, currently unfinished job(s). When you select an icon, you display the Manage jobs view for the relevant job category. These icons are:

    • Red calendar icon calendar_red_brand_refreshed.svg – indicates that some jobs in the relevant target language are overdue.

    • Yellow calendar icon calendar_yellow_brand_refreshed.svg – indicates that some jobs in the relevant target language are due today.

    • Gray calendar icon calendar_gray_brand_refreshed.svg – indicates that some jobs in the relevant target language are due within the next three business days.

    • Green checkmark icon green_circle_check.png – indicates that all jobs in the relevant target language have been finished.

    For each project target language, you see the average TQI for all jobs in that language. The results are color-coded:

    • Green background and the checkmark icon black_circle_checkmark.svg – indicate that, on average, segments for all jobs in that language are of Good quality.

    • Yellow background and the warning icon QA_warning_gray.svg – indicate that, on average, segments for all jobs in that language are of Acceptable quality.

    • Red background and the error icon warning-exclamation-red.png – indicate that, on average, segments for all jobs in that language are of Non-Acceptable quality.

    • Yellow warning icon yellow_warning_triangle.svg – indicates that one or more jobs in that language did not get the TQI. Hover over the icon to see more details.

    • Red error icon warning-exclamation-red.png – indicates that there has been an issue with the TQI feature. Hover over the icon to see more details.

    If the Intelligent Workflow feature has been activated for your instance by your XTM Cloud Administrator, and you hover over a target language's TQI, you see the number of jobs whose workflow has been automated by Intelligent Workflow.

    When you click on a target language's TQI, you see a popover containing detailed information about jobs in the selected target language:

    • Number of Jobs whose workflow has been automated in the selected target language.

    • Number of jobs in the selected target language whose quality is Good.

    • Number of jobs in the selected target language whose quality is Acceptable.

    • Number of jobs in the selected target language whose quality is Non-Acceptable.

    • Total number of jobs in the selected target language.

    To close the popover containing detailed information about the selected target language, click away from the popover.

    For each project target language, you see a context menu icon ellipsis_vertical_context_menu_brand_refreshed.svg in the top right-hand corner of the screen. You can use it to:
