Selecting additional options for workflow steps in the Edit Workflow screen

Selecting additional options for workflow steps is one of the ways in which you can edit an existing workflow definition for one or more selected project jobs. You can do so in the Edit Workflow screen at any time. For details, follow the procedure below.

Procedure. To select additional options for selected workflow steps in the Edit Workflow screen:
  1. Open the Edit Workflow screen for the required jobs. You can:

  2. In the Edit Workflow screen, select the relevant step from the displayed workflow definition by clicking on it.

    As a result, in the Workflow Options panel on the right-hand side, you see additional options for the selected step.

  3. In the Workflow Options panel, select additional options for the selected step. The options that you see depend on the step type, and settings made by your XTM Cloud Administrator. Select one or more of these settings:

    • Approve TM – if you select this checkbox, translation memory (TM) records created or updated in this step will automatically be approved after this step is finished.

    • Calculate costs based on manual time – if you select this checkbox, costs for this step will be calculated on the basis of the manual time input. This checkbox is only displayed if your XTM Cloud Administrator has enabled the Enable manual time tracking for setting (for details, see Settings — Project: Time tracking).

    • Chargeable – if you select this checkbox, this step will be chargeable. This checkbox is only displayed if your XTM Cloud Administrator has enabled the Show Chargeable checkbox in Workflow Editor setting (for details, see Cost settings).

    • Calculate edit distance – if you select this checkbox, the edit distance score will be calculated for this workflow step. This checkbox is only displayed if your XTM Cloud Administrator has enabled the Calculate edit distance setting (for details, see Workflow options parameters).

    • Auto-finish step on its due date – if you select this checkbox, this workflow step will automatically be finished on its due date, regardless of the work progress in the step. This checkbox is only displayed if your XTM Cloud Administrator has enabled the Auto-finish step on its due date setting (for details, see Workflow options parameters).

    • All segments must be completed to finish the task – if you select this checkbox, tasks in this step cannot be finished until all segments have Completed status.

    • LQA – if you leave this checkbox cleared, the Linguistic Quality Assessment (LQA) is disabled for the relevant step. It means that a user performing this step cannot evaluate the work of the Linguist or LSP assigned to the previous workflow step. Also, the Show existing errors checkbox is displayed. It is described below.

      If you select the LQA checkbox, the LQA is enabled for the relevant step. It means that a user performing this step can evaluate the work of the Linguist or LSP assigned to the previous workflow step. Also, the Save result in user record checkbox is displayed. It is described below.

      • Show existing errors – this checkbox is displayed if the LQA checkbox is cleared. If you select it, LQA displays errors reported in previous steps.

      • Save result in user record – this checkbox is displayed if the LQA checkbox is selected. If you select it, the LQA result for the Linguist or LSP assigned to the previous step is saved in the Rating tab screen, in the Edit user window.

    Note

    There are no additional options for automatic steps. You also cannot edit some options for steps assigned to an LSP.

  4. If required, in the Edit Workflow screen, you can also:

    1. add steps to the selected workflow definitions. For details, see Adding steps to a selected workflow definition in the Edit Workflow screen.

    2. change the workflow step to a different one. For details, see Changing a step type in a selected workflow definition in the Edit Workflow screen.

    3. change the transition type between workflow steps. For details, see Changing the transition type between workflow steps in the Edit Workflow screen.

    4. delete a workflow step. For details, see Deleting workflow steps in the Edit Workflow screen.

    5. edit a different workflow definition instead of the one that is currently displayed. This option is only possible if you have initially selected jobs with different workflow definitions. For details, see:

  5. Once you have made all the required changes, at the bottom of the Edit Workflow screen, select:

    • Exit to discard changes made to the selected workflow definition and return to the Manage jobs screen. If you have made any changes in the Edit Workflow screen, you will need to confirm your action in the Discard changes popup. Alternatively, you can select the close icon close_X-mark_from-UX-team.svg in the top right-hand corner of the Edit Workflow screen.

    • Save and exit to save your changes to the selected workflow definition and return to the Manage jobs screen.

    • Save to save your changes to the selected workflow definition and stay in the Edit Workflow screen.

      Important

      If, initially, you select jobs that have different workflow definitions and change a selected workflow definition in such a way that it becomes identical to another workflow definition, and you select the Save button, the number of jobs that you see in the top left-hand corner will increase. This is because more jobs now share this workflow definition. If required, you can edit all of them at once.
