Customer Editor – Settings: TM and Terminology

In the TM and Terminology section of the Customer list > Settings tab screen, you can customize the TM and Terminology-related system settings for a customer.

Procedure. To access the TM and Terminology section of the Customer list > cog-solid_DEL Settings tab:
  1. Select the Customers > Customer list tab.

  2. Select the required customer in the Customer list screen.

    Result: the Customer list > Edit view is opened for the selected customer.

  3. From the left-hand side panel, select Settings.

  4. In the Customer list > cog-solid_DEL Settings tab screen, scroll down to the TM and Terminology section.

    Result: the Customer list > Settings > TM and Terminology settings are displayed.

The settings you see in the TM and Terminology section, and the options selected for them, depend on the system settings made by your XTM Cloud Administrator. All possible settings are listed in the table below.

Specify if the setting is to be displayed at project level for the selected customer and what should be the default value. If the setting is displayed, the project creator can change the default value.

  • System default – the setting will be displayed at project level. By default, system settings made by your XTM Cloud Administrator will be used for the customer's projects. However, the project creator can select a different option for their project.

  • Don't display – the setting will not be displayed at project level. In this case, system settings made by your XTM Cloud Administrator will be used for the customer's projects.

  • Match type is approved or not approved ICE and Leveraged – the setting will be displayed at project level. By default, the option selected by you will be used for the customer's projects. However, the project creator can select a different option for their project.

  • Match type is approved ICE and Leveraged – the setting will be displayed at project level. By default, the option selected by you will be used for the customer's projects. However, the project creator can select a different option for their project.

  • XLIFF:doc status >= Translated – this option is available if the TIPP setting has been selected (for details, see General system settings). The setting will be displayed at project level. By default, the option selected by you will be used for the customer's projects. That means, segments with Translated, Proofed, and Validated XLIFF:doc statuses are locked. However, the project creator can select a different option for their project.

  • XLIFF:doc status >= Proofed – this option is available if the TIPP setting has been selected (for details, see General system settings). The setting will be displayed at project level. By default, the option selected by you will be used for the customer's projects. That means, segments with Proofed and Validated XLIFF:doc statuses will be locked. However, the project creator can select a different option for their project.

  • XLIFF:doc status = Validated – this option is available if the TIPP setting has been selected (for details, see General system settings). The setting will be displayed at project level. By default, the option selected by you will be used for the customer's projects. That means, only segments with the Validated segment status are locked. This option is available if the TIPP setting has been selected (for details, see General system settings).

Use not approved memory

This setting is displayed if your XTM Cloud Administrator has enabled it at system level (for details, see the general Matches settings).

By default, XTM Cloud only uses approved TMs for matching. However, you can select the Use not approved memory checkbox to permit the use of non-approved TM in projects created for the selected customer.

This setting does not apply to a non-approved TM created in the current project. This TM will be returned even if you have not selected the Use not approved memory setting. Linguists will see these TM records in XTM Workbench even after project reanalysis.

This setting does not apply to internal matching cases, such as fuzzy repetitions and 100% repetitions. They are displayed to users even if the Use not approved memory checkbox is cleared.

The setting will be displayed at project level. The option that you select will be the default, but the project creator can select a different option for their project.

    When you disable this setting, the Set ICE matches from not approved TM to done and Set leveraged matches from not approved TM to done are inactive (if they have been first enabled at system level by your XTM Cloud Administrator).

Allow editing of ICE segments

This setting is displayed if your XTM Cloud Administrator has enabled it at system level (for details, see the ICE match settings).

When you enable this setting, you permit Linguists to edit all completed segments populated with In-Context Exact matches that are inserted in the translations they are working on in XTM Workbench.

The setting will be displayed at project level. The option that you select will be the default, but the project creator can select a different option for their project.

Use Approved terms only

This setting is displayed if your XTM Cloud Administrator has enabled it at system level (for details, see Terminology options).

Select this setting to only use terms with valid translations (Approved status) for your project.

The setting will be displayed at project level. The option that you select will be the default, but the project creator can select a different option for their project.

Do not store in TM segments with XLIFF:doc status set to Rejected

This setting is only available at global and customer level if TIPP has been enabled by XTM Cloud Administrator (for details, see Enabling TIPP in XTM Cloud).

If this setting is enabled, and segments with XLIFF: doc Rejected status are saved in Workbench, they are not saved in TM. If identical segments already exist in TM, but their status is not Rejected, they are removed from TM.

The setting is NOT displayed at project level. The option that you select will apply to all projects created for this customer.

Set non-translatables as done

This setting is displayed if your XTM Cloud Administrator has enabled it at system level (for details, see the Segment status settings).

Select this setting to set non-translatable text to Completed during project analysis. The Linguist will not need to confirm them in XTM Workbench.

If a segment is marked as non-translatable, while a Linguist is working in XTM Workbench, this setting will not apply.

If a Linguist translates a segment which, during project analysis, has been marked as non-translatable, this segment's state qualifier will still be Non-translatable.

The setting will be displayed at project level. The option that you select will be the default, but the project creator can select a different option for their project.

    Additionally, use radio buttons to specify in which workflow steps should these segments be set to Completed:

    • All except last step – XTM Workbench sets the status of segments with non-translatable text to Completed in all workflow steps except the last one.

    • First step only – XTM Workbench only sets the status of segments with non-translatable text to Completed in the first workflow step.

    • All steps – XTM Workbench sets the status of segments with non-translatable text to Completed in all workflow steps.

  • Cleared.

The default is specified in the system settings made by your XTM Cloud Administrator.

Set ICE matches from not approved TM to done

This setting is displayed if your XTM Cloud Administrator has enabled it at system level (for details, see the ICE match settings). If you deselect the Use not approved memory setting, described above, this setting will be displayed, but inactive.

Select this setting to set ICE matches from non-approved TM to Completed during project analysis. The Linguist will not need to confirm them in XTM Workbench.

This setting will also work for segments automatically populated with an ICE match while a Linguist is working on a file in XTM Workbench. For example, if a Linguist selects a certain segment, this segment and the two next ones become active, and XTM Cloud updates a match list for them. If one or more of these segments get an ICE match, it will be inserted in the segments automatically, and the segments' status will be set to Completed.

If a Linguist selects an ICE match from the Matches docked panel manually, this setting will not apply.

The setting will be displayed at project level. The option that you select will be the default, but the project creator can select a different option for their project.

Set leveraged matches from approved TM to done

This setting is displayed if your XTM Cloud Administrator has enabled it at system level (for details, see the Leveraged match settings). It is not available in the Project Editor, so the setting cannot be changed in an existing project.

Select this setting to set leveraged matches from approved TM to Completed during project analysis. The Linguist will not need to confirm them in XTM Workbench.

This setting will also work for segments automatically populated with a leveraged match while a Linguist is working on a file in XTM Workbench. For example, if a Linguist selects a certain segment, this segment and the two next ones become active, and XTM Cloud updates a match list for them. If one or more of these segments get a leveraged match, it will be inserted in the segments automatically, and the segments' status will be set to Completed.

If a Linguist selects a leveraged match from the Matches docked panel manually, this setting will not apply.

Set leveraged matches from not approved TM to done

This setting is displayed if your XTM Cloud Administrator has enabled it at system level (for details, see the Leveraged match settings). If you have disabled the Use not approved memory setting, this setting will be displayed, but inactive.

Select this setting to set leveraged matches from not approved TM to Completed during project analysis. The Linguist will not need to confirm them in XTM Workbench.

This setting will also work for segments automatically populated with a leveraged match while a Linguist is working on a file in XTM Workbench. For example, if a Linguist selects a certain segment, this segment and the two next ones become active, and XTM Cloud updates a match list for them. Terminology type

This setting is displayed if your XTM Cloud Administrator has enabled it at system level (for details, see Terminology options).

Valid values:

  • System default. In this case, the default terminology source is named in brackets. So, you see either System default (XTM Terminology) or System default (TermWeb).

    Important

    If the AI Translate & TQI feature is enabled in your XTM Cloud instance and is set to run in analysis (for details, see Managing AI Translate & TQI at global level, and the Terminology is set to System default (XTM Terminology), ensure that your Administrator has enabled the Match terms in analysis setting for your XTM Cloud instance. If they haven't, as a user with the Project Manager role, select XTM Terminology from the Terminology dropdown for the relevant customer. Next, select the Match terms in analysis checkbox, described below. Otherwise, the AI Translate & TQI feature will not have access to terminology.

  • None.

  • XTM TerminologyXTM Cloud has a comprehensive built-in terminology module that is described in the XTM Terminology chapter.

    If you select this option, the Match terms in analysis setting is displayed.

  • TermWeb – when activated, replaces all the functionality of the XTM Terminology module with TermWeb from Interverbum Technology. Terminologists and Linguists will be able to see and manage terms in XTM Workbench and/or the Terminology module that come from the relevant TermWeb instance, and not from the integrated XTM Terminology. To set up TermWeb in XTM Cloud, you need a separate TermWeb account, and then you need to provide the details listed below. For more information about a TermWeb account, contact Interverbum Technology or see www.interverbumtech.com.

    To synchronize TermWeb with your XTM Cloud instance, enter these details and then select the Synchronize button at the bottom of the Terminology engines section:

    • TermWeb detailsCustomer-specific is selected. It enables you to enter customer-specific TermWeb configuration details in the fields below.

    • Login name – the customer login name for TermWeb.

    • API Key – the customer API key for TermWeb.

    • URL – the customer URL for your TermWeb.

    • Templates - you can synchronize customer's TermWeb templates.

Match terms in analysis

This setting is only displayed if you have selected XTM Terminology in the Terminology type setting.

Select this option so that XTM Cloud checks the entire file against the XTM Terminology during project analysis.

Important

If the AI Translate & TQI feature is enabled in your XTM Cloud instance and is set to run in analysis (for details, see Managing AI Translate & TQI at global level), select the Match terms in analysis checkbox. Otherwise, the AI Translate & TQI feature will not have access to terminology.

If the AI Post-Edit feature is enabled in your XTM Cloud instance (for details, see Global AI Post-Edit settings), select the Match terms in analysis checkbox. It will enable the LLM access to your terminology resources.

Run Terminology extraction

This setting is displayed if your XTM Cloud Administrator has enabled it at system level (for details, see the Terminology options).

When you select this setting, XTM Cloud extracts a list of candidate terms as an additional process during the project analysis. These terms are saved to an Excel spreadsheet. Project Managers can download it from the Project list by selecting the context menu icon ellipsis_vertical_context_menu_brand_refreshed.svg and then Download > Extracted terms (for details, see Reviewing projects). Alternatively, if they also have the Terminologist role, they can open the relevant project in Project Editor and select the files_brand_refreshed.svg Files tab. Then, in the Source column, in the All files row, select the download icon download_brand_refreshed_blue.svg. From the dropdown, select Extracted terms (for details, see Project Editor – Files).

If your XTM Cloud Administrator enabled terminology extraction at system level, but you have NOT selected this setting for a customer and neither did the project creator, Project Managers can still generate and download the candidate terms. However, in this case, terms are only extracted at their request. They can generate and download a candidate term list from the Project list by selecting the context menu icon ellipsis_vertical_context_menu_brand_refreshed.svg and then Download > Extracted terms (generate) (for details, see Reviewing projects). Alternatively, they can open the relevant project in Project Editor and select the files_brand_refreshed.svg Files tab. Then, in the Source column, in the All files row, select the download icon download_brand_refreshed_blue.svg. From the dropdown, select Extracted terms (generate).

Advanced TM Options

Specify if you want to use the system default TM-related settings or make customer-specific settings.

  • System default (default) – global settings made for your instance by your XTM Cloud Administrator will apply to the customer.

    However, Project Managers will be able to make project-specific settings during project creation.

  • Customer specific – a new Advanced TM Options section is displayed. In it, you can adjust the required settings for your customer. When you select the chevron down icon chevron-down_brand_refreshed.svg to the right of the section name, you see TM match type-related setting categories. You can use the Expand all button to display all settings in all categories. You can also use the chevron down icon chevron-down_brand_refreshed.svg to the right of the TM category name to only display settings in that category. The categories are:

    • ICE matches.

    • Leveraged matches.

    • Fuzzy matches.

    • Fuzzy repeats.

Advanced TM Options section

ICE matches sub-section

Populate target with match

This setting is displayed if you have selected the Customer specific option for the Advanced TM Options setting and then expanded its all or only the required subsections.

Specify when an ICE match is to be automatically inserted into the target segment.

The setting will be displayed at project level. The option that you select will be the default, but the project creator can select a different option for their project.

Number of matches to display

This setting is displayed if you have selected the Customer specific option for the Advanced TM Options setting and then expanded its all or only the required subsections.

Set a maximum number of ICE matches which are to be displayed in XTM Workbench, in the Matches docked panel for a single segment.

The setting will be displayed at project level. The option that you select will be the default, but the project creator can select a different option for their project.

Leveraged matches sub-section

Search only if there are no ICE matches

Specify whether XTM Cloud should search for a 100% leveraged match when there is an ICE match available for the segment.

The setting will be displayed at project level. The option that you select will be the default, but the project creator can select a different option for their project.

Show leveraged matches

This setting is displayed if you have selected the Customer specific option for the Advanced TM Options setting and then expanded its all or only the required subsections.

The setting will be displayed at project level. The option that you select will be the default, but the project creator can select a different option for their project.

  • No – 100% leveraged matches are never displayed to Linguists.

Populate target with match

This setting is displayed if you have selected the Customer specific option for the Advanced TM Options setting and then expanded its all or only the required subsections.

Specify when a 100% leveraged match is to be automatically inserted into the target segment.

The setting will be displayed at project level. The option that you select will be the default, but the project creator can select a different option for their project.

  • Always, fixing inline differences – in this case, all inline tags will be automatically entered at the end of the target segment.

Search for fuzzy matches even if specific matches found

This setting is displayed if you have selected the Customer specific option for the Advanced TM Options setting and then expanded its all or only the required subsections.

Specify, whether XTM Cloud should search for a fuzzy match if there is an ICE or a 100% leveraged match available for the segment.

You can selecting one or both options:

  • ICE.

  • Leveraged.

The setting will be displayed at project level. The option that you select will be the default, but the project creator can select a different option for their project.

This setting is displayed if you have selected the Customer specific option for the Advanced TM Options setting and then expanded its all or only the required subsections.

For each category of fuzzy matches, specify if and when the match is to be displayed to the Linguist in the Matches docked panel in XTM Workbench.

The setting will be displayed at project level. The option that you select will be the default, but the project creator can select a different option for their project.

This setting is displayed if you have selected the Customer specific option for the Advanced TM Options setting and then expanded its all or only the required subsections.

For each category of fuzzy match, you can specify when XTM Cloud should automatically enter it in the target segment in XTM Workbench.

The setting will be displayed at project level. The option that you select will be the default, but the project creator can select a different option for their project.

If segment has one number, which is different, substitute number & try to promote fuzzy to leveraged match

This setting is displayed if you have selected the Customer specific option for the Advanced TM Options setting and then expanded its all or only the required subsections.

If the only difference between the current source segment and the one from the TM is just one number, when you select this checkbox, XTM Cloud inserts the correct number and upgrades the fuzzy match to a 100% leveraged match.

The setting works when:

  • there is only one number in a segment and this number differs the current source segment from the one from the translation memory.

  • the decimals in the current source segment are separated with full stop or comma, e.g. 10,5 or 10.5.

  • the currency or measurement units come after or before a number in the current source segment and are written without space, e.g. 10cm, $15, $10,50.

The setting does NOT work when:

  • there are two or more numbers in a segment.

  • a number in the current source segment is a combination of digits and letters, e.g. 43AB32.

  • a different character is used to separate digits within a number, e.g. 1'000'000, 1'000'000,50, 10 000.

The setting will be displayed at project level. The option that you select will be the default, but the project creator can select a different option for their project.

Fuzzy repeats sub-section

Search for fuzzy repeats even if specific matches found

This setting is displayed if you have selected the Customer specific option for the Advanced TM Options setting and then expanded its all or only the required subsections.

Specify, whether XTM Cloud should search for a fuzzy repeat if if there is an ICE or a 100% leveraged match for the segment.

You can select one or both options:

  • ICE.

  • Leveraged.

The setting will be displayed at project level. The option that you select will be the default, but the project creator can select a different option for their project.

For each category of fuzzy repeat, specify if it is to be displayed to the Linguist in XTM Workbench, in the Matches docked panel.

The setting will be displayed at project level. The option that you select will be the default, but the project creator can select a different option for their project.
