Creating a project: TM and Terminology

This section describes TM and Terminology settings that you, as a Project Manager, can use while creating a project in XTM Cloud.

XTM Cloud automatically stores TM and terminology in the project customer's resources. When you create a project, XTM Cloud uses both: the customer’s TM and terminology for matching. Use this setting to decide which resources of additional customer(s), selected in the Select customers setting, should be used in your project.

  • Terminology – only terminology of the selected customer(s) will be used in your project.

  • TM – only translation memory of the selected customer(s) will be used in your project.

If required, select other customers, to enable their TMs and/or terminologies to be used in your project.

Note

You cannot remove the customer for which the project is being created from the selected customers list. That customer's TM and terminology will always be used in the project, regardless of any option that is selected for the Use the selected customer’s setting.

Multiple selection

Predefined list of customers available in your XTM Cloud instance.

Use the chevron right icon circle_chevron_right_sharp_solid_brand_refreshed.svg to add customer(s) to the list, and the chevron left icon circle_chevron_left_sharp_solid_brand_refreshed__2_.svg to remove them.

Use Non-approved memory

This setting is displayed if your XTM Cloud Administrator has enabled it at system level (for details, see the general Matches settings).

By default, XTM Cloud only uses approved TMs for matching. However, you can select the Use Non-approved memory checkbox to permit the use of non-approved TM in a project, when you create it.

This setting does not apply to a non-approved TM created in the current project. This TM will be returned even if you have not selected the Use Non-approved memory setting. Linguists will see these TM records in XTM Workbench even after project reanalysis.

This setting does not apply to internal matching cases, such as fuzzy repetitions and 100% repetitions. They are displayed to users even if the Use Non-approved memory checkbox is cleared.

    When you disable this setting, the Change ICE matches from Non-approved TM to Completed and Change Leveraged matches from Non-approved TM to Completed are inactive (if they have been first enabled at system level by your XTM Cloud Administrator).

Hide repeated segments

This setting is displayed if your XTM Cloud Administrator has enabled it at system level (for details, see the Repeats settings).

A source text might contain the same text multiple times. When you select this setting, XTM Workbench hides repeated segments when repeats exceed a percentage of a file specified in the Activate when repeats exceed X % of a file setting. In that case, only the first occurrence of a repeated text is displayed in XTM Workbench, for a Linguist to translate. The segments containing the repeated text are automatically hidden in XTM Workbench. When the Linguist translates the segment that contains the first occurrence of the text, the translation is propagated to (inserted in) all the hidden segments too, in the background. The feature also applies to cross-file repetitions in which the same text is repeated across multiple files in the same project.

Hide repeated segments

Activate when repeats exceed X % of a file

This setting is displayed if you have selected the Hide repeated segments checkbox.

Use it to set a percentage value for the Hide repeated segments setting. When the specified threshold condition is met and the project is being opened in XTM Workbench, a filter called All segments except repeats is triggered automatically. The filter hides repeated segments but displays all other segment types, including the source of repeats. The feature includes cross-file repetitions. Repeated segments are automatically hidden in XTM Workbench and then silently propagated to all subsequent repetitions. The filter can be deactivated in XTM Workbench and activated again, but it is not available for projects in which the Hide repeated segments option has not been selected by the Project Manager.

Mandatory if you selected the Hide repeated segments checkbox.

Text field

Permit editing of ICE segments

This setting is displayed if your XTM Cloud Administrator has enabled it at system level (for details, see the ICE match settings).

When you enable this setting, you permit Linguists to edit all completed segments populated with In-Context Exact matches that are inserted in the translations they are working on in XTM Workbench.

Change ICE matches from Non-approved TM to Completed

This setting is displayed if your XTM Cloud Administrator has enabled it at system level (for details, see the ICE match settings). If you deselect the Use Non-approved memory setting, described above, this setting will be displayed, but inactive. It is also not available in the Project Editor, so the setting cannot be changed in an existing project.

Select this setting to set ICE matches from non-approved TM to Completed during project analysis. The Linguist will not need to confirm them in XTM Workbench.

This setting will also work for segments automatically populated with an ICE match while a Linguist is working on a file in XTM Workbench. For example, if a Linguist selects a certain segment, this segment and the two next ones become active, and XTM Cloud updates a match list for them. If one or more of these segments get an ICE match, it will be inserted in the segments automatically, and the segments' status will be set to Completed.

If a Linguist manually selects ICE match from the Matches docked panel, this setting will not apply, so the segment status will not automatically be set to Completed.

    • All steps – XTM Workbench sets the status of segments with ICE matches from not approved TM to Completed in all workflow steps.

Change Leveraged matches from Approved TM to Completed

This setting is displayed if your XTM Cloud Administrator has enabled it at system level (for details, see the Leveraged match settings). It is not available in the Project Editor, so the setting cannot be changed in an existing project.

Select this setting to set leveraged matches from approved TM to Completed during project analysis. The Linguist will not need to confirm them in XTM Workbench.

This setting will also work for segments automatically populated with a leveraged match while a Linguist is working on a file in XTM Workbench. For example, if a Linguist selects a certain segment, this segment and the two next ones become active, and XTM Cloud updates a match list for them. If one or more of these segments get a leveraged match, it will be inserted in the segments automatically, and the segments' status will be set to Completed.

If a Linguist selects a leveraged match from the Matches docked panel manually, this setting will not apply.

Change Leveraged matches from Non-approved TM to Completed

This setting is displayed if your XTM Cloud Administrator has enabled it at system level (for details, see the Leveraged match settings). If you have disabled the Use Non-approved memory setting, this setting will be displayed, but inactive. It is also not available in the Project Editor, so the setting cannot be changed in an existing project.

Select this setting to set leveraged matches from not approved TM to Completed during project analysis. The Linguist will not need to confirm them in XTM Workbench.

This setting will also work for segments automatically populated with a leveraged match while a Linguist is working on a file in XTM Workbench. For example, if a Linguist selects a certain segment, this segment and the two next ones become active, and XTM Cloud updates a match list for them. If one or more of these segments get a leveraged match, it will be inserted in the segments automatically, and the segments' status will be set to Completed.

Set Non-translatables to Finished

This setting is displayed if your XTM Cloud Administrator has enabled it at system level (for details, see the Segment status settings). It is not available in the Project Editor, so the setting cannot be changed in an existing project.

Select this setting to set non-translatable text to Completed during project analysis. The Linguist will not need to confirm them in XTM Workbench.

If a segment is marked as non-translatable, while a Linguist is working in XTM Workbench, this setting will not apply.

If a Linguist translates a segment which, during project analysis, has been marked as non-translatable, this segment's state qualifier will still be Non-translatable.

Run Terminology extraction

This setting is displayed if your XTM Cloud Administrator has enabled it at system level (for details, see the Terminology options).

When you select this setting, XTM Cloud extracts a list of candidate terms as an additional process during the project analysis. These terms are saved to an Excel spreadsheet. You can download it from the Project list by selecting the context menu icon ellipsis_vertical_context_menu_brand_refreshed.svg and then Download > Extracted terms (for details, see Reviewing projects). Alternatively, if you also have the Terminologist role, open the relevant project in Project Editor and select the files_brand_refreshed.svg Files tab. Then, in the Source column, in the All files row, select the download icon download_brand_refreshed_blue.svg. From the dropdown, select Extracted terms (for details, see Project Editor – Files).

If your XTM Cloud Administrator enabled terminology extraction at system level, but you have NOT selected this setting during project creation, you can still generate and download the candidate terms. However, in this case, terms are only extracted at your request. You can generate and download a candidate term list from the Project list by selecting the context menu icon ellipsis_vertical_context_menu_brand_refreshed.svg and then Download > Extracted terms (generate) (for details, see Reviewing projects). Alternatively, open the relevant project in Project Editor and select the files_brand_refreshed.svg Files tab. Then, in the Source column, in the All files row, select the download icon download_brand_refreshed_blue.svg. From the dropdown, select Extracted terms (generate).

TM language variant penalty profile

This setting is displayed if your XTM Cloud Administrator has enabled it at system level (for details, see the general Matches settings).

Any TM entry that matches the criteria in the penalty profile will be penalized and the modified match will be displayed in XTM Workbench.

Note

The TM language variant penalty profile supersedes the project TM penalty profile, but only works for language pairs in which at least one language is a variant language. If neither of the languages in a language pair is a variant language, the TM language variant penalty profile will NOT apply. In such case, the project TM penalty profile will apply, if it has been enabled in the project.

Example 25. The TM language variant penalty profile usage

If you have created a project with Japanese as a source language and German (Austria) and Korean as your target languages, the TM language variant penalty profile only applies to the Japanese => German (Austria) language pair. In the case of the Japanese => Korean language pair, the project TM penalty profile applies, if it has been enabled on the project.

Select this setting to only use terms with valid translations (Approved status) for your project.

Disable term decoration

This setting is displayed if your XTM Cloud Administrator has enabled it at system level (for details, see Terminology options).

Use it to disable highlighting of terms found in the source language in XTM Workbench. You can still select a word and use the context menu to add it quickly to the Terminology.

Highlight segments populated with a language variant match

This setting is displayed if your XTM Cloud Administrator has enabled it at system level (for details, see the general Matches settings).

When you select this option, target segments populated with a TM match for a different variant are marked in XTM Workbench with the icon indicating variant language circle-v-orange.png.

Advanced TM Options

Specify if you want to use the system default TM-related settings or make project-specific settings.

  • System default (default) – your project will use customer-specific TM settings, if they have been made for the project's customer by you or another Project Manager. If no customer-specific settings are made, global settings made for your instance by your XTM Cloud Administrator will apply.

    Note

    The customer settings take priority over system settings.

  • Project-specific – a new Advanced TM Options section is displayed. When you select the chevron down icon chevron-down_brand_refreshed.svg to the right of the section name, you see MT match type-related setting categories. You can use the Expand all button to display all settings in all categories. You can also use the chevron down icon chevron-down_brand_refreshed.svg to the right of the MT category name, to only display settings in that category. The categories are:

    • ICE matches.

    • Leveraged matches.

    • Fuzzy matches.

    • Fuzzy repeats.

Advanced TM Options section

ICE matches sub-section

Populate target with match

This setting is displayed if you have selected the Project-specific option for the Advanced TM Options setting and then expanded its all or only the required subsections.

Specify when an ICE match is to be automatically inserted into the target segment.

This setting is not displayed in the Project Editor, so it cannot be changed in an existing project.

Mandatory

This setting is displayed if you have selected the Project-specific option for the Advanced TM Options setting and then expanded its all or only the required subsections.

By default, if there is an ICE match, XTM Cloud does not search for a 100% leveraged match for the relevant segment. You can change this behavior by clearing the checkbox.

This setting is not displayed in the Project Editor, so it cannot be changed in an existing project.

Search for fuzzy matches even if specific matches found

This setting is displayed if you have selected the Project-specific option for the Advanced TM Options setting and then expanded its all or only the required subsections.

By default, if there is an ICE or a 100% leveraged match, XTM Cloud does not search for a fuzzy match.

You can change this behavior by selecting one or both options:

  • ICE.

  • Leveraged.

This setting is not displayed in the Project Editor, so it cannot be changed in an existing project.

For each category of fuzzy matches, specify if and when the match is to be displayed to the Linguist in the Matches docked panel in XTM Workbench.

This setting is not displayed in the Project Editor, so it cannot be changed in an existing project.

If segment has one number, which is different, substitute number & try to promote fuzzy to leveraged match

This setting is displayed if you have selected the Project-specific option for the Advanced TM Options setting and then expanded its all or only the required subsections.

If the only difference between the current source segment and the one from the TM is just one number, when you select the Permit checkbox, XTM Cloud inserts the correct number and upgrades the fuzzy match to a 100% leveraged match.

The setting works when:

  • there is only one number in a segment and this number differs the current source segment from the one from the translation memory.

  • the decimals in the current source segment are separated with full stop or comma, e.g. 10,5 or 10.5.

  • the currency or measurement units come after or before a number in the current source segment and are written without space, e.g. 10cm, $15, $10,50.

The setting does NOT work when:

  • there are two or more numbers in a segment.

  • a number in the current source segment is a combination of digits and letters, e.g. 43AB32.

  • a different character is used to separate digits within a number, e.g. 1'000'000, 1'000'000,50, 10 000.

This setting is not displayed in the Project Editor, so it cannot be changed in an existing project.

Number of matches to display

This setting is displayed if you have selected the Project-specific option for the Advanced TM Options setting and then expanded its all or only the required subsections.

You can set a maximum number of fuzzy repeats which are to be displayed in XTM Workbench, in the Matches docked panel for a single segment.

This setting is not displayed in the Project Editor, so it cannot be changed in an existing project.
